CRM Case Study: Cambridge Self Help Food Bank and Sumac

Constituent Relationship Management (CRM) can vastly improve a nonprofit's operations, fundraising initiatives, volunteer management and more, but deciding on a CRM system can be a very difficult task. Dianne McLeod, Program Coordinator at the Cambridge Self Help Food Bank (CSHFB), shares with us her experience with implementing a new CRM (Sumac) at CSHFB.

Eligibility Criteria

This donation is available only to Canadian Registered Charities registered with the Canada Revenue Agency, Canadian nonprofits incorporated either provincially or at the federal level, and Canadian public libraries with a library symbol from Library and Archives Canada.

Donated product will be distributed under this program to qualifying organizations only, not to individuals.

Description:

Sumac is a Contact Relationship Management (CRM) solution designed for non-profits. It manages your contacts (such as donors, volunteers and clients), communications, donations, events, memberships, and more. The Silver version is intended for organizations with less than 1,000 contacts.

Benefits for Organizations

  • Includes built-in email marketing and payment processing
  • You can choose to host Sumac on your computer or have Sumac host your database online (not included in donation, see below)

Sumac can do as much or as little as you like. Here are some of the areas you may choose to use it for:

  • Contact Management – Track critical contact information in one place including donations, events attended, volunteer activity, and much more to get a complete picture of your contacts.
  • Fundraising – Manage campaigns, send personalized communication using built-in email marketing tools, and manage responses. Also, track donations, process payments on your website, process recurring gifts, and relate donations to campaigns and events.
  • Event Management – Sell tickets, run auctions, and track attendance & donations with Sumac’s built-in ticketing and event management.
  • Reporting – Get hundreds of donor and fundraising reports that let you quickly summarize giving trends and campaign success.
  • Grant Management – Maintain a detailed database of each grant opportunity to help you manage the grant-writing process and get more funding.
  • Volunteer Management – Track volunteers’ qualifications and availability, assign tasks with ease, record effort spent and follow up with personalized communication.
  • Membership Management – Define membership types, rates and benefits, produce customized renewal invoices, reminders, and membership packages. Also, allow members to join or renew on your website.
  • Specialized modules - More modules to choose from, including Case Management, Auditions & Submissions, Course Registration and Collection Management.

Sumac allows you to export any of your data so that you can open it in the programs you already use, including email, spreadsheets, accounting software, and more.

Sumac Silver details

Capacity: Up to 1,000 contacts (donors, volunteers, etc.) in the database.
Users: One user at a time if data is hosted on your computer; unlimited simultaneous users if data is hosted online (note that online hosting is not included in this donation).
Modules: All Roots Modules included. Choose any two Specialized Modules. See the list of modules (Roots and Specialized modules).

Subscription & Renewals

This donation covers all first year fees for the software, including online training, unlimited email support and updates. Eligible organizations may renew Sumac Silver each year through TechSoup Canada.

This donation is available only to new Sumac customers or organizations who have received a donation of Sumac Silver through TechSoup Canada in the past. Individuals or organizations who have purchased Sumac (directly through Sumac) are not eligible for this donation.

Please note, by requesting Sumac Silver through TechSoup Canada, you will no longer be eligible to request a donation of Sumac Gold.

Support

Full support is included at no additional charge with every installation of Sumac. Updates and upgrades are installed automatically.

Obtaining This Product

After you place your request, you will receive an email from TechSoup Canada to confirm that we have received your request. This will be followed by an email from Sumac to initiate the process of getting Sumac set up for you.

Installation and Setup

Sumac installs with just a few clicks, so no technical expertise is required.

Data Conversion Process – Once you have been approved for a donation of Sumac Silver, you need to convert your data. This includes all of your lists of names and addresses, email distribution lists, donation history, and any other types of information in spreadsheets and databases.

Data conversion entails cleaning up and moving this data into your new database. Sumac offers this service (not included in this donation) that takes care of data conversion for you for a flat rate of $850. This includes up to 100 columns of data in a spreadsheet or database tables. It also includes customization of Sumac for your organization, by Sumac staff. Alternatively, you can choose to clean and transfer your own data using our tools, and customize Sumac yourself free of charge.
